Quote Process Optimization

Streamlined FloraCraft's quote request process by creating a consolidated form and tracking system, reducing document creation by 82% and enhancing team efficiency.

Overview

At FloraCraft, I led a critical initiative to overhaul our quote request process, which was causing delays and inefficiencies due to redundant paperwork and lack of transparency. By developing and implementing a streamlined system, I significantly improved operational efficiency, team collaboration, and customer satisfaction.

Context and Objectives

The existing process was inefficient and error-prone, requiring multiple documents per quote and lacking real-time tracking. My goal was to simplify the process, enhance visibility, improve team collaboration, and increase customer satisfaction through faster and more accurate quotes.

My Role
As the Process Improvement Lead, I:
  • Analyzed the existing process to identify inefficiencies.

  • Developed a consolidated quote request form and master tracking system.

  • Collaborated with cross-functional teams to ensure the new process met all needs.

  • Conducted training sessions to facilitate smooth adoption.

  • Provided ongoing support and gathered feedback for continuous improvement.

Challenges and Solutions
  • Resistance to Change: Engaged stakeholders early and incorporated their feedback to increase buy-in.

  • Ensuring System Effectiveness: Piloted the new process to identify and address issues before full implementation.

  • Maintaining Productivity: Implemented a phased rollout with comprehensive training to minimize disruptions.

Results
  • Reduced new Documents by 82%: From implementation of new process.

  • Enhanced Visibility: Real-time tracking of quote statuses.

  • Increased Collaboration: Strengthened communication between departments.

  • Higher Customer Satisfaction: Faster, more accurate quotes led to positive client feedback.
